Refund & Cancellation Policy

This policy explains the conditions under which refunds and cancellations are handled for IT consulting services provided by RB Consulting. We aim to be clear and fair in all situations.

Summary: Completed and delivered work is non-refundable. Unused prepaid amounts for cancelled ongoing services may be refunded. We process all refunds within 10 business days via the original payment method.

1. Services Covered

This policy applies to all IT consulting services provided by RB Consulting, including:

Website and digital infrastructure consulting
Technical implementation and platform setup
Performance and platform optimization
Ongoing technical support retainers

We do not sell physical goods. No shipping policy applies.

2. Project-Based Services

For one-time or project-based engagements:

Before work begins: If you cancel before any work has started, you are entitled to a full refund of any prepaid amount.
After work has begun: If you cancel after work has started, we will calculate the value of work completed to date. A refund of the unused prepaid balance (if any) will be issued after deducting the cost of completed work.
After delivery: Once agreed deliverables have been delivered and accepted (or a reasonable review period has passed), the payment is non-refundable.

3. Ongoing / Retainer Services

For recurring or monthly retainer arrangements:

You may cancel at any time with 14 days' written notice sent to [email protected].
Fees paid for the current billing period are non-refundable, but no further charges will be made after cancellation takes effect.
Unused prepaid amounts beyond the current period will be refunded within 10 business days.

4. How to Request a Refund or Cancellation

To request a refund or cancel your service:

Include: your name, company, invoice number, date of payment, and reason for the request

We will acknowledge your request within 2 business days and confirm the outcome within 5 business days.

5. Refund Processing

Approved refunds are processed within 10 business days of confirmation.
Refunds are returned via the original payment method used (e.g. credit card via Mollie, or bank transfer).
Card refunds may take an additional 3–5 business days to appear on your statement depending on your bank.
We do not charge fees for processing refunds.

6. Transaction Currency

All transactions are processed in EUR (Euro) or PLN (Polish Złoty) as stated on the invoice. Currency conversion is handled by your bank or card provider and any related fees are outside our control.

7. Chargebacks

We ask that you contact us directly before initiating a chargeback with your bank or card provider. Most concerns can be resolved quickly through direct communication. Unjustified chargebacks on services properly delivered may result in suspension of access to our services and may be disputed.

8. Exceptions

We may decline a refund if:

The project was completed and delivered as agreed
The Client failed to provide necessary materials or feedback that delayed or prevented delivery
The request is made after 30 days from invoice date without prior notification of issues

9. Consumer Rights (B2B Disclaimer)

Our services are provided exclusively to businesses and legal entities acting in a professional capacity, not to individual consumers. Standard consumer withdrawal rights (e.g. 14-day right of withdrawal under the EU Consumer Rights Directive) do not apply to B2B service contracts. This is consistent with Mollie's User Agreement which limits its services to legal persons acting in a business capacity.
